Quartermaster (Uniforms & Awards)


Goal of the Position: Order uniforms for our regular season Spring and Fall teams, our Select and All-Star teams (end of Spring season only), and trophies and awards (end of Spring season only), coordinate drop-off and packing of uniforms, and make them available to coaches at our Westgate facility. At the end of the season, store extra uniform items at Westgate for use in future seasons.


Essential Duties and Responsibilities:


Spring and Fall:

- Provide our team numbers at each of our six player levels to the Washington Nationals Little League program (they provide jerseys and hats to us for free, saving the league a ton of money that we can use towards things like improving facilities)

- Work with FCKLL Sponsor Coordinator and our uniform printer (currently Sundog Productions) for uniform pick-up from Nats, and what sponsor names should be printed on jerseys for each level

- Order pants, belts, and socks, coach shirts, and oversee packing with volunteers to help match them up with jerseys and hats and bag them for coaches to pick up at Westgate facility

- Work with Umpire Coordinator to order jerseys and caps for umpires

- Communicate with coaches to provide or swap extra uniform items

- Attend monthly board meetings 


Spring only:

- Order end-of-season trophies and awards and make them available for coaches to at Westgate facility

- Work with All-Star coordinator to order uniforms and hand out to our three All-Star teams

- Order jerseys and hats for our annual Select team games (four teams total)


Offseason: Not much to do except to count and store excess uniform inventory at our Westgate facility, and attend or send in updates for monthly meetings


Job Tools & Documentation: You will inherit a Google account (FCKLL.QM@gmail.com) that you share with an Assistant Quartermaster (Assistant QM focuses on gear, balls, and first aid equipment). This Google account has loads of helpful stuff:

- Google spreadsheets for calculating uniform order requirements based on on-hand inventory and current season needs

- Google doc for printing off uniform packing slips, telling coaches how to get into the Press Box at Westgate, and other things

- Calendar of key dates and typical deadlines

- Contact info for FCKLL officers and uniform and trophy suppliers

- Uniform and award orders to refer to from prior years (back to 2016)

- All emails related to Quartermaster duties since 2016


Scott Moore, prior Quartermaster from 2016-2019, will work with you to hand off the job in Fall 2019 / Spring 2020.


Approximate Time Commitment:

March - 10-20 hours to count on-hand inventory, place orders, coordinate printing, and work with volunteers to pack uniform packages for coaches

April-June - 3-8 hours per month for providing extra uniform items to coaches, ordering and receiving trophies and awards (late May), ordering and receiving/organizing Select team uniforms (late May) and All-Star uniforms (early June)

Late Aug / Early Sept - 6-12 hours to count on-hand inventory, place orders, coordinate printing, and work with volunteers to pack uniform packages for coaches (same as Mar, but lower volume because Fall Ball is typically 50-60% as many player as Spring)

Off season - Minimal; attend monthly board meetings, and miscellaneous things like organizing extra inventory, clean up of Westgate storage facility when it suits you

Worksites: At home, Westgate facility (baseball field behind Westgate Elementary on Magarity Drive), Board meetings

The ideal candidate will:

  • Be well-organized

  • Pass a background check

  • Have good email and interpersonal communication skills 

  • Communicate well with other FCKLL officers, Board members, and Regular Members

  • Have an interest in youth sports, but children currently playing in FCKLL are not required

  • Be able to attend Board meetings once per month

  • Have basic spreadsheet and document editing skills
