Board Position Description

 

 
Position Title:      Treasurer
 
Basic Function:  The Treasurer shall have charge and custody of, and be responsible for, all funds and securities of the club, and deposit all such funds in the name of the club in such banks, trust companies, or other depositories as shall be selected by the Board of Directors.
 
Duties and Responsibilities:
 
  1. Receive monies due and payable to the club and deposit in the applicable bank account timely.  Ensure that details of the deposits are recorded in the financial statements timely and to the appropriate account.
  2. Make payment or disburse funds on behalf of the club.  No payment should be made without sufficient supporting documentation, such as an invoice from a supplier, and proper authorization from a Board member.  Ensure the payments are recorded in the financial statements timely and to the appropriate account.
  3. Reconcile bank accounts monthly, and other balance sheet accounts as appropriate.
  4. Prepare or cause to be prepared the financial statements (balance sheet and income statement reports) after each month-end, and distribute to Board members, or present results at Board meetings.  Render a written account of the finances of the organization to the President and Directors, whenever requested.
  5. Prepare or cause to be prepared the applicable tax filings, including, but not limited to, Internal Revenue Forms 1096, 1099-MISC and 990.
  6. Review and make recommendations to the Board on any matter or question relating to the financial position of the club.
  7. Assist the Travel and Recreation Directors in preparing an annual plan.  Develop a consolidated annual program budget and monitor actual results against the annual plan.
  8. Take action on all correspondence mailed to the club Post Office box.
  9. Work with the Registrar regarding any payment issues, including past due accounts.
  10. File the annual Secretary of State document.
 
Qualifications:         
  • BS degree in Accounting
  • Detailed-oriented with strong organizational skills
  • Good written and verbal communication skills
  • Aptitude for systems; knowledge of QuickBooks preferred
  • CPA with non-profit experience preferred
